One WhatsApp number. The whole team behind it.

Connect your club’s own WhatsApp number, and every message lands in a shared inbox, matched to the right member or turned into a new lead.

The problem

Your club’s WhatsApp lives on one person’s phone.

For most clubs, WhatsApp is where bookings, questions, and new enquiries arrive. It is also usually one phone, held by one person, who is not always at the desk.

When that person is off, messages wait. When they leave, the history goes with them. Playgeko moves the conversation into a shared inbox tied to your member records.

Without Playgeko
With Playgeko
One phone holds every customer conversation
A shared inbox the whole front desk can use
A new enquiry is just another unknown number
Matched to a member or lead automatically, or created as a new lead
No one knows who is replying to whom
Conversations can be claimed, so two people do not answer the same message
History leaves with the staff member
Messages stay with the club, linked to the member record
What you get

Built around how clubs actually use WhatsApp

1

Your club’s own number

Connect the WhatsApp number your customers already know, using Meta’s guided sign-up. Playgeko checks that the number belongs to your Meta account, and a number can only be linked to one club. Only owners and admins can connect or disconnect it.

2

Messages go to the right club

Incoming messages are verified and routed by the number they were sent to, never guessed. If your club has several branches, a conversation can be assigned to a specific one.

3

Matched to members and leads

Each message is attached to an existing conversation, then a matching member, then a matching lead. If none exists, Playgeko creates a new lead so the enquiry is not dropped. Matching tolerates formatting differences in phone numbers, such as a leading plus sign.

4

Claim a conversation

A team member can claim a conversation so everyone knows it is handled. New messages notify your staff, and the sidebar shows an unread count. You can filter the inbox to unread conversations only.

5

Reply without leaving Playgeko

Write replies up to 4,096 characters from the inbox, with the member’s history beside you. Delivery is tracked as sent, delivered, or failed, and failed messages stay visible in the conversation.

6

Messages from the phone are kept too

If someone replies from the WhatsApp app on the club phone, the message is captured in the conversation and labelled “Sent from phone”, so the history stays complete.

7

Follows WhatsApp’s 24-hour window

You can reply for 24 hours after a customer’s last message. After that, the inbox marks the conversation as closed until they write again, in line with WhatsApp’s rules.

8

Connected to follow-ups

WhatsApp steps in your follow-up sequences send from the same number, and each message updates the member’s last-contacted date.

In practice

An enquiry at 9pm

What happens when someone messages the club after the desk has closed.

  1. 9:02 pm

A number you do not recognise asks whether there is a court free on Thursday evening. The message arrives in the inbox and a new lead is created automatically.

  2. 9:03 pm

Your staff receive a notification, and the sidebar shows one unread conversation.

  3. 8:30 am

The next morning, a colleague claims the conversation and replies from the inbox. The lead record is right beside it.

  4. 8:45 am

The player books. The lead is converted to a member record, with the whole conversation attached.

Who it helps

Owners

Stop depending on one phone, and keep your customer conversations as a club asset.

Staff

See who is writing, who has it covered, and the member’s history before you reply.

Players

Message the number you already know, and get a faster answer.

Up and running in three steps

  1. Step 1

    Connect your number

An owner or admin links the club’s WhatsApp number through Meta’s guided sign-up.

  2. Step 2

    Invite your team

Give front desk staff access so they can see and claim conversations.

  3. Step 3

    Start replying

New messages arrive in the inbox, matched to members and leads.

The WhatsApp inbox is part of the CRM, which is included in the Professional plan.

Works with the rest of Playgeko

The inbox is part of your CRM. Conversations attach to member records and leads, and the same WhatsApp number powers your follow-up sequences.

Questions clubs ask

Can I use the number my customers already have?

Yes. You connect your club’s own WhatsApp number through Meta’s guided sign-up, so customers keep messaging the same number.

What happens if a stranger messages us?

Playgeko creates a new lead from the message, so the enquiry shows up in your CRM instead of being lost.

Can I send bulk messages or broadcasts?

No. The inbox is for conversations. Replies are free-form text within WhatsApp’s 24-hour window after the customer’s last message. Approved message templates and broadcasts are not available.

Who can connect or disconnect the number?

Only owners and admins. If the connection is revoked on the Meta side, Playgeko disconnects automatically and asks an owner to reconnect.

Is it safe for customer data?

Incoming messages are verified before they are accepted, each message is routed only to the club that owns the number, and your connection credentials are stored encrypted.
