Follow-ups that happen without anyone remembering.

Build a sequence once, and Playgeko creates the tasks and sends the messages on schedule, so no new member or renewal goes quiet.

The problem

Great clubs follow up. Busy clubs forget.

The welcome message, the check-in after a first game, the renewal call before a package runs out. They all matter, and they all depend on someone having the time. When the front desk is busy, they slip.

Playgeko turns your follow-up routine into a sequence that runs on a schedule, and puts the human steps on your team’s task list at the right moment.

Without Playgeko
With Playgeko
A welcome message sent when someone remembers
A sequence that starts automatically when a new member is added

No view of who your team has contacted
A last-contacted date on every member, and a staff scorecard
What you get

Automation that keeps the personal touch

1

Sequences with three kinds of step

Each step is a staff task, a WhatsApp message, or an email, with a wait of up to 365 days after the previous step. Mix them freely: an email on day one, a task to call on day three, a WhatsApp check-in on day ten.

2

Starts itself, or on demand

Set a sequence to start automatically when a new member or a new organization is added, or apply it by hand to any contact with an assignee and a start date. Playgeko never runs the same sequence twice for the same contact at once.

3

Messages with names filled in

Use placeholders for first name, last name, club name, and branch name, so each message reads like it was written for that person.

4

A human step pauses the sequence

When a step is a task, the sequence waits until your team completes it. If a task is completed early, later tasks in the same sequence are cancelled so nobody gets chased twice.

5

Renewal alerts for coaching packages

When a player has 1 to 3 sessions left, or a package is within 14 days of expiring, Playgeko creates a renewal task for the member’s owner, due the next day. If nobody owns the member, branch owners and admins are alerted instead.

6

Nine segments for targeting

Find who has not booked in 30 days, who booked once and never returned, VIPs cooling off, active regulars, members you have not contacted in a month, and players whose packages are low, expiring, or finished. Use them to decide who a sequence or a call is for.

7

Daily digest and overdue alerts

Each morning, every staff member gets a digest of tasks due today and overdue. Overdue tasks trigger a notification, so follow-ups do not get buried.

8

See who is doing the follow-up

Admins and owners get a staff scorecard and leaderboard: contacts created, messages sent by channel, sales closed, packages sold, revenue, conversion, renewal rate, and follow-up adherence, compared with the previous period.

In practice

A welcome sequence for every new member

Set it up once, and it runs for every player who joins.

  1. Day 0

A player makes their first booking and is added as a member. The sequence starts automatically, and an email welcomes them by first name.

  2. Day 3

A task appears on the front desk list: call to ask how the first game went. The sequence waits until it is marked done.

  3. Day 14

A WhatsApp message goes out inviting them to book their next session.

  4. Later

If they buy a coaching package and run it down, a renewal task is created for their owner on your team.

Who it helps

Owners

Make follow-up a system rather than a habit, and see who on your team is doing it.

Staff

Open your task list and see exactly who to contact today, with the context already attached.

Players

Hear from your club at the right moments, by name, without being spammed.

Up and running in three steps

  1. Step 1

    Connect your channels

Link your club’s WhatsApp number, and email steps are ready to use.

  2. Step 2

    Build a sequence

Add steps, set the waits, and choose how it starts.

  3. Step 3

    Let it run

Tasks land on your team’s list and messages go out on schedule.

CRM and sequences are part of the Professional plan.

Works with the rest of Playgeko

Sequences run on the members in your CRM and use the WhatsApp number you have connected. Coaching package balances trigger the renewal tasks.

Questions clubs ask

Can I send a campaign to a whole segment at once?

No. Sequences run per member, and segments are used for filtering and deciding who to contact. Bulk campaigns and win-back broadcasts are not available.

Can WhatsApp steps message anyone?

WhatsApp steps send free-form text, so they are delivered when the member has messaged your club within the last 24 hours, in line with WhatsApp’s customer reply window. For first contact, use email or a task for your team.

Do renewal reminders go straight to the member?

Renewal alerts create a task for the member’s owner on your team, who then reaches out. You can also build a sequence with email or WhatsApp steps for renewals.

Do you track email opens and clicks?

No. Playgeko records that a message step was sent and updates the member’s last-contacted date. WhatsApp delivery and failures are tracked in the inbox.

What if a message fails to send?

Playgeko retries up to three times before stopping the sequence. A step with no email or phone number to send to is skipped, and the sequence carries on.
